California Apostille Services
Documents issued or notarized in California may require authentication through the California Secretary of State before they can be accepted abroad.
I assist local, nationwide, and international clients with California-issued documents and offer both standard and expedited service options.

Apostilles From All 50 States
Your documents don’t have to be from California.
If you live in California but have a birth certificate from New York, a marriage certificate from Nevada, and another document from Texas, you shouldn’t have to coordinate three different apostille providers.

Do You Need a Notary Before the Apostille?
Some documents must be properly notarized before they can be submitted for authentication.
If your document requires notarization first, I also provide Mobile Notary Services throughout Southern California.
Documents that may require notarization can include:
- Powers of attorney
- Affidavits
- Business documents
- Trust and estate documents
- Deeds
- Personal statements
- Other privately executed documents
Not every document should be notarized, so it’s best to confirm the correct process before adding a notarization unnecessarily.

Need a Certified Court Record First?
Sometimes the document that needs an apostille is a certified court record, such as a divorce judgment, criminal case record, name change order, or other certified court document.
If you do not already have the certified copy you need, I also provide Court Document Retrieval Services. I may be able to obtain the required court record before the apostille process begins.
This can be especially helpful if you:
- Live outside California
- Live outside the United States
- Cannot visit the courthouse yourself
- Need a certified copy for immigration, citizenship, residency, marriage, or other international matters.

FBI Background Check & Federal Apostille Services
Federal documents follow a different authentication process than state-issued documents.
If you have an FBI Identity History Summary that needs an apostille or authentication for international use, I can coordinate the federal authentication process through the U.S. Department of State.
Federal authentication services may also apply to certain documents issued by federal agencies.

Authentication & Embassy Legalization for Non-Hague Countries
Not every country uses the Hague Apostille process.
Depending on the destination country and document, additional authentication and embassy or consulate legalization may be required.
I coordinate these more involved document legalization requests as well, including the necessary authentication steps and embassy or consulate courier service when available.
What Is an Apostille?
An apostille is a certificate used to authenticate the signature and authority of a public official on a document being presented in another country that participates in the Hague Apostille Convention.
An apostille does not certify that the information contained in the document is true. It authenticates the signature, seal, or authority associated with the document.
For countries that do not use the Hague Apostille process, authentication and additional legalization may be required instead.

Frequently Asked Questions
Do I need an apostille or authentication?
It depends primarily on the destination country and the type and origin of your document. Submit your request with the country where the document will be used so I can determine which process applies.
Can you apostille a document from another state?
Yes. I coordinate apostille services for documents originating throughout the United States.
Can you handle documents from several states at once?
Yes. Multi-state coordination is one of the advantages of working with The Document Diva. You can have one point of contact rather than finding a separate provider in every state.
Can you apostille an FBI background check?
Yes. FBI background checks are federal documents and follow the federal authentication process rather than the California Secretary of State process.
Does my document need to be notarized first?
Some documents do; others should not be notarized. It depends on the document. Do not add a notarization simply because you think one might be necessary. Send the document details first.
Can you help if I don’t have the certified document yet?
Possibly. I also provide Court Document Retrieval Services and County Document Retrieval Services and may be able to obtain the certified copy needed before the apostille process begins.
Do you work with clients outside California?
Absolutely. I work with clients throughout the United States and internationally. Documents can be shipped to me and returned after processing.
